How To Create A “Done List”


First, your done list should not replace your to-do list. I mention this because many proponents of done lists recommend doing exactly that. They advise abandoning your to-do lists entirely.

I disagree with that position 100%.

It should be clear that I feel an effective to-do list system is invaluable to organizing tasks and projects and getting things done. A done list cannot possibly take its place as a task management strategy. It’s not sufficiently flexible.

That said, it can be a useful part of your to-do list system if you’re motivated by seeing your daily accomplishments. So here’s how to create and make use of a done list.

First, write down every task you complete during the course of your day. The size of the task doesn’t matter. Nor does its priority. Did you deliver the report your boss tasked you with last week? Write it down. Did you schedule a meeting with your managers? Make a note of it. Did you follow up with a prospective client regarding your bid for a new project? If so, put it on your done list!

Second, review your done list after you’ve officially called it a day. Take notice of how much you’ve accomplished. Then, take the time to appreciate your hard work. Give yourself a pat on the back.

Third, the following morning, before you tackle the new day’s to-do list, look at yesterday’s done list. Note again how many tasks you completed. Use this as motivation to be just as productive during the current day.

That’s it. That’s your done list in action.

I don’t use a done list. That’s not because the practice is ineffective. On the contrary, many people find it to be highly effective. I’ve tried it and found it does little for me.

As I mentioned, if a motivational boost prompts you to work more efficiently, experiment with using a done list. You may find it adds significant value to your workflow. Just don’t let it replace your to-do list system.
